AI automation is software that reads, decides and acts on routine work for you: replying to an enquiry, sorting leads, reading an invoice, updating your CRM or sending a follow-up. Plain automation follows fixed rules ("when a form is submitted, add a row to the sheet"). AI automation adds judgement ("read this WhatsApp message, work out what the customer wants, answer from our price list, and pass it to sales if they are ready to buy").

For most Indian small businesses, a useful AI automation costs between ₹15,000 and ₹1,50,000 to build, plus a monthly running cost for the tools it uses. Below is what drives the price, with real examples of what businesses automate first.

AI automation vs normal automation

  • Normal automation moves data between tools using fixed rules. It is cheap, fast and predictable. Tools: Zapier, Make, Google Apps Script, Python.
  • AI automation handles messy input such as free-text messages, PDFs, voice notes and emails, where rules break. It uses a language model (for example Claude, GPT or Gemini) inside the workflow.

Good systems use both. AI reads and decides; normal automation does the moving and recording. If a task can be done with fixed rules, it should be, because rules never "guess".

What businesses automate first

  • Instant WhatsApp or email replies to every new enquiry, answered from your own FAQs and price list.
  • Lead qualification: AI reads the enquiry, scores it and assigns it to the right person in the CRM.
  • Follow-up sequences so no quote goes unanswered for a week.
  • Invoice, purchase order and resume reading into Sheets, Odoo or Tally exports.
  • Daily or weekly reports sent to the owner on WhatsApp.
  • An internal assistant that answers staff questions from your SOPs.

How much does AI automation cost in India?

These are typical starting ranges for build cost in 2026, excluding GST. Exact prices depend on your tools and volume.

ProjectTypical build costTime
One workflow (for example form → CRM → WhatsApp reply)₹15,000 – ₹30,0001–2 weeks
CRM setup with 3–5 workflows and an AI reply agent₹40,000 – ₹1,00,0003–5 weeks
WhatsApp AI agent with booking and CRM sync₹50,000 – ₹1,50,0004–6 weeks
Document processing (invoices, POs, forms)₹30,000 – ₹80,0002–4 weeks

Monthly running costs

On top of the build, you pay the tool providers directly. Typical items are a Zapier or Make plan, WhatsApp Business API conversation charges through a provider, AI model usage (charged per amount of text processed), and your CRM subscription. For a small business these often add up to a few thousand rupees a month, but they scale with volume, so ask for a written estimate before you start.

What makes it more expensive

  • More tools to connect, especially old software with no API.
  • Decisions that need a lot of judgement, like qualifying complex B2B leads.
  • High volume, which means more edge cases to test.
  • Sensitive data such as health or finance, which needs extra security and logging.

Is it worth it?

Do the simple maths. If someone on your team spends two hours a day copying leads and replying to the same questions, that is roughly 50 hours a month. If an automation removes most of that work and replies to leads in minutes instead of hours, it usually pays for itself quickly, and faster replies tend to win more enquiries. If a task happens twice a month, do not automate it.

How to start without wasting money

  1. List the tasks your team repeats every day and how long each takes.
  2. Pick the one that costs the most time or loses the most leads.
  3. Automate only that, measure it for a month, then add the next.
  4. Insist on documentation and a person-in-the-loop for anything customer-facing.
