The problem
Small teams spend hours answering the same questions and copying the same data between tools. Customers wait for replies, and staff spend their day on admin.
These projects, for several clients, set out to answer common questions instantly and remove the cross-tool copy-paste.
The two problems are related. Repeated questions about products, services and availability fill inboxes and WhatsApp chats, and the answers rarely change. Meanwhile, the same enquiry often has to be entered into a sheet, forwarded by email and posted in Slack so the team knows about it. Each step is small, but together they take up a large part of the week.
The aim was to hand the repeatable work to software and keep people for the conversations that need them.
What we built
We built two kinds of automation, often together.
- AI chatbots trained on each business's own FAQs and product data, deployed on websites and WhatsApp for customer support and lead qualification
- Multi-step Zapier automations connecting forms, Gmail, Google Sheets, Slack and CRMs
- A Python email-automation tool for a Mumbai service business that used to email clients by hand every week
Training the chatbots on each business's own FAQs and product data keeps the answers specific to that business instead of generic. The Zapier workflows link the tools the team already uses, so data entered once moves to where it is needed.
Each workflow was tested with real examples before launch and documented so the client's team understands it. Automation that nobody understands is hard to trust and hard to fix, so documentation is part of the delivery. See our business automation page for how we approach it.
The email-automation tool replaced a weekly manual task with templates the client reviews once. Combining chatbots and workflows means a lead qualified in chat can flow straight into a sheet, an email or a CRM.
The result
Five or more client workflows now run automatically, and chatbots answer questions around the clock. One client's weekly workload dropped by 90% after their email system went live.
In the client's words: "The automation tool they built just runs. I set it up once, reviewed the templates, and now it works without me."
The common thread is that setup happens once and the work then runs without daily attention, which gives the team its time back.
For service businesses, the practical gain is twofold: customers get answers without waiting for office hours, and staff stop re-typing the same details between tools. Both come from a one-time setup that is tested and documented before it goes live.
Frequently asked questions
What does an AI chatbot need to answer customer questions?
Your own material: FAQs, product or service details and the answers you already give. We train the chatbot on that data, so replies reflect your business. Questions it cannot answer are better handed to a person.
Can a chatbot run on WhatsApp as well as my website?
Yes. We have deployed chatbots on both websites and WhatsApp for customer support and lead qualification.
When should I use Zapier and when a custom script?
Zapier suits connecting common tools such as forms, Gmail, Sheets, Slack and CRMs. A custom script, like the Python email tool here, suits jobs that need more control. We recommend the simpler option that fits.
What does it cost, and how long does it take?
Pricing is project-based. We give a fixed quote and a timeline after a free discovery call, once we have seen which tasks you want automated.
