The problem

Botfit is a fitness-tech company. Enquiries arrived from the website, but moving them into the sales process meant copying data between systems and assigning follow-ups by hand.

They wanted a lead flow that runs itself and a sales team that opens Odoo and sees what to do next.

Manual copying causes two kinds of loss. It takes time that the sales team could spend talking to prospects, and it introduces delay and mistakes: a lead sits in an inbox until someone has a free moment, or details are typed in wrong. Assigning follow-ups by hand adds a third problem, because it is easy for a lead to end up with no clear owner.

Odoo can do a great deal, which is also the risk. Without configuration around the real sales process, a CRM becomes another place to type data. The work was to shape Odoo so that it handled the routine steps itself.

What we built

We configured and customised Odoo CRM around Botfit's sales process.

The flow starts at the web form. A submission creates the lead in Odoo directly, so no one retypes it. The lead then moves through qualification stages, and emails and tasks are triggered as it progresses, so the next step is always visible to whoever owns the lead.

Automatic assignment was important because it removes the question of who follows up. Reporting on the pipeline gives management a view of where leads are sitting. We treat this as business automation: fit the system to the process, not the other way around.

Email triggers are tied to stages, so a lead receives the right message at the right point without anyone writing it out each time. We kept the setup aligned to Botfit's own sales stages, which makes Odoo easier for the team to adopt.

The result

Manual data entry was eliminated across the sales process. A lead now travels from form to qualified opportunity to sales handoff with emails, tasks and reports generated along the way.

The sales team spends its time on conversations, not data entry.

Because every lead has an owner and a stage, the team can open Odoo and see what needs doing today. Management can see the pipeline through reports instead of asking for updates.

For a company that receives enquiries through its website, this removes a whole category of admin. The same approach works for other teams whose leads arrive online and then have to be re-entered by hand before anyone can act on them.
