The problem

Megafluence is a digital marketing and influencer agency. Leads came in from several places and were followed up by hand, so replies were late and the CRM was out of date.

The agency needed one managed pipeline where every lead has a stage, an owner and a next step.

This is a common problem for agencies. When leads arrive from different sources, each one gets handled a little differently, depending on who sees it first and how busy they are. Late replies lose enquiries, and a CRM that is updated by hand is usually behind reality, so nobody fully trusts it.

The goal was not just a tool but a process: capture every lead in the same place, follow up on time without someone remembering to do it, and let the CRM show the real state of the pipeline.

What we built

We built and configured a complete GoHighLevel pipeline, end to end.

  • Lead capture forms that feed the CRM directly
  • Automated nurture sequences so every lead gets timely follow-up
  • Appointment booking flows connected to the pipeline stages
  • CRM stages that reflect how the agency actually sells
  • Reporting dashboards showing the pipeline at a glance

Each piece is connected to the next. A form submission creates the contact and places it in the first stage. The nurture sequence then handles early follow-up, and a booked appointment moves the lead along. Because the stages are tied to actions, the CRM stays current without anyone updating it.

We designed the stages around how the agency really sells, not around a generic template, since a pipeline that does not match the team's process tends to be ignored. This is core business automation work: map the process first, then automate it.

Reporting was built last, on top of the stages, so the dashboards reflect real activity. If a lead has not moved, it shows up in the pipeline view rather than staying hidden in someone's inbox.

The result

The team went from chasing leads manually to a fully managed pipeline. Capture, nurture, booking and CRM stages run automatically, and nobody updates the CRM by hand.

The agency now works from one place and can see its pipeline without asking anyone.

With reporting built in, the owners can check the state of the pipeline at any time, and the team spends its effort on conversations with leads instead of on admin.

A managed pipeline also makes the agency easier to run as it grows. New team members can learn the process from the stages in the CRM, and follow-up does not depend on any one person remembering to send a message.

Frequently asked questions

How long does a GoHighLevel setup take?

It depends on how many lead sources, sequences and pipeline stages are involved. We confirm the timeline after a free discovery call, once we have mapped your process.

What does GoHighLevel automation cost?

Pricing is project-based. We give a fixed quote after a free discovery call, once we understand the scope.

Do we need to change how we sell to use a pipeline like this?

No. We build the CRM stages around how your team already sells. If the process itself has gaps, we point them out during discovery.

What does a full pipeline include?

On this project: lead capture forms, nurture sequences, appointment booking, CRM stages and reporting dashboards. We scope the parts you need and leave out what you do not.
